New World’s Aegis Corrections Management solution automates the daily operations of facilities that are responsible for booking and holding a person in custody, overseeing defendants on pre-trial release and managing sentenced offenders. It maintains a large amount of offender information needed each day, including schedules, inmate location, medications, property management and much more. This solution has been an invaluable tool for correctional facilities across the country, because it provides complete inmate information to correctional officers within seconds via a computer. But what happens when an officer is away from a computer?

 

Because very few activities in a jail occur in front of a computer, the correctional officer must retain information regarding inmate changes and updates themselves to be entered into the system later. One of the largest challenges is to make inmate information available to officers throughout the correctional facility and allow them to update inmate information in real-time within the system. To meet this challenge, New World has developed a new tool for correctional facilities that combines bar code tracking and wireless capabilities to enable officers to maintain inmate information and update inmate status in real-time, from anywhere in the jail. Wireless Handheld Inmate Tracking, a new Aegis Corrections module, allows corrections officers to track and maintain inmate and property information with a handheld device that wirelessly updates to the Corrections system. Instead of returning to a computer to record changes and updates, the officer uploads up to 24 hours of inmate or property information onto the handheld device then utilizes bar code scanning capabilities to signify a move has been made, a task has been completed, a medication has been given, inmates have all been accounted for and more. The device transmits the updated information back to the Corrections system, providing all users immediate awareness of inmate status. If there is a temporary loss of signal within the correctional facility, the handheld searches for a wireless signal every 15 minutes to upload information to the system.

 

Wireless Handheld Inmate Tracking gives officers an instant life-line to the Corrections system by helping them track four routine activities.

 

Inmate Tracking

Helps officers maintain inmate schedules, including appointments and events. The officer initiates a schedule through the handheld device and then scans the bar code wristbands of the inmates involved in that particular program. Once the information is entered and the status of the schedule changed, the change is automatically updated back in the Corrections system.

 

Move Inmates

Helps officers keep track of inmates during moves inside the jail. Officers can scan the bar code or enter the location of the move and the inmates involved. Wireless transmission of all inmate moves provides real-time location updates to the system.

 

Medications

Allows officers to accurately track and maintain the distribution of medication to inmates. The officer simply scans or enters the medication and then scans the inmate’s wristband to signify the medication has been given. Increased security and restrictions is built into the application to guarantee HIPAA compliance.

 

Head Count

Streamlines the routine process of verifying that all inmates are in their proper locations. By scanning each inmate’s bar code, the officer checks them off in the system. If an inmate is in the wrong location or has been moved recently, the officer will be notified of all necessary information. Real-time wireless status updates to the Corrections system will also immediately alert the officer to missing inmates during head count.

 

Wireless Handheld Tracking can also help simplify inmate property management. As property is held and moved, it is easily entered, tracked and updated within the system in real-time. Officers can later run historical reports on inventory based on more detailed information from the handhelds.

 

In addition to eliminating the need for officers to return to a computer to make each of these updates in the system, this module further streamlines correctional facility operations by improving the accuracy of information. Because all information updates occur in real-time instead of relying on the officer to enter it later, the data within the system is more accurate. It also provides more detailed data for reporting purposes, including historical reporting that was unavailable before.

 

Most importantly, Wireless Handheld Inmate Tracking provides correctional facility employees with immediate awareness of inmate status and locations. Whether it’s an alert for a missing inmate or a notice that a location change has occurred, the information is made available immediately to increase safety and efficiency for officers and inmates in the correctional facility.
