In 1990, the Ottawa County MIS department made a decision to switch their hardware to IBM® iSeries, which required compatible public administration software. With the technology that was available in the market, they knew they could find a vendor who would fully automate and streamline their daily processes immediately and in the future.
"The system we previously had was difficult to use, and it took a long time processing information," said June Hagan, accounting director. "We service a large community, and we needed a solution that was going to increase productivity and timeliness."
The County looked for a user friendly, flexible, integrated software solution that would automate their duties. Ottawa County chose New World Systems' Logos Financial Management and Human Resources software, because the functionality met the County's criteria. Ottawa County utilizes the software's key elements in their accounting and human resources departments.
"New World continues to enhance their products and develop new software to keep up-to-date with technology and their Customer's needs," said Hagan."The Company listens to their Customers feedback about enhancements and new technology."
Prior to using New World's software, Ottawa County posted financial transactions weekly, because the process was long and tedious.
"With the Logos Financial Management software, we can post transactions daily which keeps our financial records and budgets current, saving us time and money," said Hagan.
The Human Resources software has streamlined processes throughout the department. Now, time sheets are entered into the system and submitted by each department. Once the information is entered into the system, payroll personnel have access to the data. The software integration reduces data entry and inaccuracies, saving the County time and money. Ottawa County's accounting department used to manually gather time sheets, then enter everybody's time and dates into the system.
"New World's Payroll module automates our payroll processing, which is a reprieve when 900 to 950 payroll checks are processed bi-weekly," said Hagan. "We work with eight union contracts, which means that there are many different deduction types, vacation and sick time, and accrual that are deducted or added to payroll checks. New World's software simplifies this process by giving us the ability to set up employees by benefit group with specific instructions."
"We've had a positive experience with New World's software," said Hagan, who is comfortable recommending New World to other agencies. "We have not encountered problems with our routine daily processing. The software does what we were told it would do."
